Prepare the source of wealth narrative in advance

Source of funds asks where this money came from; source of wealth asks how the owners became wealthy. This causes more delay than anything else. Prepare a clear evidenced account before applying rather than assembling it under pressure.

Apply to more than one bank in parallel

Refusal is common and rarely explained in detail. Sequential applications can cost months. Approach several, and choose a bank that actually serves your sector rather than the one nearest the office.

Log every cheque, and track security cheques separately

Record number, amount, payee, purpose and the date each may be presented. Post-dated and security cheques are a live liability until returned, and they are routinely forgotten once the underlying obligation is settled.

Recover cheques on settlement

When a lease ends, a facility is repaid or a supply relationship closes, retrieve every outstanding cheque and get written confirmation that none remain. An unpresented cheque hitting a closed account is a serious problem.

Never issue a cheque you are not confident will clear

The treatment of dishonoured cheques changed materially in 2022, with much enforcement running through civil routes and a cheque capable of being treated as an instrument of execution. Confirm the current position rather than relying on either the old criminal assumption or a vague sense that it no longer matters.

Send the renewed licence to the bank promptly

An expired licence copy on file causes account restrictions at an inconvenient moment. It is a two-minute task that prevents a payment freeze.

Respond to KYC refresh requests quickly

Most account freezes are caused by something mundane — an unanswered periodic review, an unexplained transaction pattern. Responding promptly is far easier than restoring a restricted account.

Reconcile with segregation of duties

The person who reconciles the bank account should not be able to make payments. In a small company where that is difficult, have a director or the accountant review the reconciliation — the review is the control.
